Pilot Program Onboarding Scope

1) Kickoff & Planning

  • Goal: Align on scope, objectives, timeline, and the two Review Tasks to implement, so your team can move quickly into discovery and build.**

  • What Taskora will do: Provide a brief product overview, confirm pilot success metrics, capture the two Review Tasks to start with, outline the interview plan, and confirm communication channels and owners.

  • What you will do: Identify the champion, stakeholders, and SMEs; confirm the two Review Tasks; agree on success metrics; and align on schedules for interviews and reviews. Provide any exeisting SOP documentation.

  • Deliverables: Defined success metrics, named roles (champion, SMEs, end‑users), the two selected Review Tasks, interview/review schedule, and target go-live date.

  • Timing: Single 60‑minute session.

2) Process Discovery: Review Task Interviews

  • Goal: Capture how your team completes each Review Task, including steps, decision rules, and edge cases, directly from a subject matter expert (SME).

  • What Taskora will do: Facilitate 30-minute interviews, record sessions with consent, guide SME walkthroughs of real examples, and compile notes.

  • What you will do: Schedule SMEs. Prepare 3-5 real examples per task. Have SMEs walk through the examples using their own access. Explain decisions and exceptions. Answer interviewer questions.

  • Deliverables: Meeting recording and notes.

  • Timing: 30-minute sessions. Usually 1-3 per Review Task. Depending on SME availability, interviews can finish within 1 business day after kickoff or take longer if more sessions are needed.

3) Document Drafting & Approval

  • Goal: Produce approved, unambiguous documentation that becomes the source of truth for configuration and QA.

  • What Taskora will do: Draft clear Review Task SOP documentation broken out by steps and circulate for review.

  • What you will do: Review and comment directly in the docs; resolve open questions; approve the final version.

  • Deliverables: Approved process documents for each Review Task.

  • Timing: 1-3 business days for the first draft and 1-2 business days per revision. Total time depends on your review speed and how many revisions are needed.

4) Configure in Taskora & Champion Live Review

  • Goal: Configure each Review Task in Taskora and validate behavior on a small, live sample with the champion.

  • What Taskora will do: Import the approved Review Tasks into Taskora, provision access for the champion and designated stakeholders, and run a small sample together to confirm expected behavior.

  • What you will do: Join the live configuration review, validate outcomes on sample records, flag any gaps or edge cases, and confirm the record selection criteria for Step 5.

  • Deliverables: Configured Review Tasks ready for broader QA; access provisioned for champion/stakeholders; list of any follow‑ups.

  • Timing: One 45-60 minute session. Additional sessions only if revisions are required.

5) Task Review Results & Finalization

  • Goal: Validate accuracy on a representative sample and finalize settings for go‑live.

  • What Taskora will do: Run Task Reviews on a sample of 50 records per the agreed criteria and provide results for the champion to review for accuracy.

  • What you will do: Review the 50-record results for accuracy, annotate discrepancies, use Taskora to verify outcomes and learn the system, and provide feedback for adjustments. Finalize the first-week adoption plan and the training roster.

  • Deliverables: 50‑record results set with champion annotations, updated configuration as needed and the first‑week adoption plan and training roster confirmed.

  • Timing: First results within 1-2 business days; further timing depends on iteration count and feedback.

6) User Enablement & Launch

  • Goal: Enable end users and begin day‑to‑day usage.

  • What Taskora will do: Schedule training as Step 5 nears completion, provision end-user accounts per the agreed roster, deliver a 30-minute training session, provide a quickstart guide and feedback path, and monitor first-day usage.

  • What you will do: Confirm the user roster and first‑week adoption plan during Step 5, ensure attendance, reinforce launch expectations, and designate a point person for day‑one support.

  • Deliverables: Trained users and active accounts.

  • Timing: Training within 1-2 business days of finalization; users begin the same day.

7) Post‑Launch Success Cadence

  • Goal: Drive adoption, share product updates, and track outcomes throughout the pilot.

  • What Taskora will do: Host Day 1 and Week 1 reviews, then meet every other week for the rest of the pilot. Share usage dashboards and product updates related to your two Review Tasks.

  • What you will do: Attend syncs, provide feedback, supply examples for improvements, and monitor usage.

  • Deliverables: Meeting notes, agreed actions, and a snapshot of product updates impacting your pilot.

  • Timing: Day‑1 and Week‑1 after launch; bi‑weekly thereafter through pilot end (ad‑hoc sessions as needed).
